A sample HVAC call, start to finish
It is a Saturday afternoon and your technicians are on jobs. A homeowner calls and the assistant answers in your company name. The caller says the air conditioner stopped cooling and the house is warm. The assistant asks if the system is running at all, and the caller says the fan runs but the air is warm.
It asks the address, whether it is a home or a business, and about when the system stopped. The caller says it quit this morning. The assistant confirms the callback number, and the caller receives a text that the details were received.
Your summary arrives marked urgent: no cooling, fan running with warm air, stopped this morning, address and number. The assistant gave no repair advice and promised no arrival time. You phone the customer, and you decide which technician goes.
The after-hours call is the busy-season call
HVAC demand is not spread evenly. Hot spells can put a lot of calls on the line at the same time your technicians are least able to answer. A phone that is answered, with the plan inquiries kept apart from the breakdowns, keeps the maintenance-plan lead from getting buried under repair calls.
