AI answering service for landscapers

An AI answering service for a landscaping company picks up while your crews are behind mowers, asks whether the caller wants recurring service, a one-time job, storm cleanup or help with a broken irrigation line, captures the address and callback number, flags urgent calls, and texts you the details. It does not quote or schedule routes.

S-101L.1 · Call types

The calls a landscaping line gets, sorted by what they need

A landscaping phone carries recurring customers, one-time estimate requests and the occasional emergency, often in the same hour while both crews are mid-route.

  • Flag first

    Broken irrigation line

A zone that will not shut off, water spraying from a broken head, or a flooded bed. The water keeps running until someone deals with it.

  • Flag first

    Storm cleanup

A limb across the driveway, debris after high wind, or a tree against a fence. These arrive in bunches after weather.

  • Lead

    Recurring service

Weekly or biweekly mowing, a new stop on the route, or a customer switching from another company. The lead worth the most over a season.

  • Lead

    One-time estimate

Sod, mulch, a bed redo, a hedge cutback or a design and install project. Tagged apart from recurring work so each gets quoted on its own terms.

S-101L.2 · Triage

What the assistant asks a landscaping caller

Short questions about the kind of work and how urgent it is, in wording you review before go-live.

  1. Are you looking for regular service, a one-time job or cleanup? The first split. Recurring accounts and one-off projects are quoted differently.
  2. Is anything urgent, like a broken irrigation line or a fallen tree?Separates the callback to make first from the quote to send this week.
  3. What is the property address? You can group quotes by neighborhood and route.
  4. About how big is the yard or the area?Optional. A rough answer is enough to decide how fast to follow up.
  5. Is this a home, an HOA or a business?HOA and commercial accounts usually involve a second contact.
  6. What is the best number, and when is a good time to call?So the callback reaches a person instead of voicemail.

What lands on your phone

Detail 02 The summary you receive

Call type
Irrigation, storm cleanup, recurring service or estimate
Urgency flag
Marked when the caller reports running water or debris blocking access
Work wanted
What the caller described, in their own words
Property
Address, rough size if given, and home, HOA or business
Contact
Name, callback number and preferred callback time

Broken irrigation lines and storm debris blocking access are flagged for first callback. Recurring and one-time requests are tagged separately. Quoting and routing stay with you.

The caller also gets a text confirming their details were received. See missed-call text-back for calls that never connect.

S-101L.4 · Sample call

A sample landscaping call, start to finish

It is mid-morning and both crews are out on routes. A homeowner calls and the assistant answers in your company name. The caller says a sprinkler zone has been running since last night and there is standing water in the front bed. The assistant asks if the water is running right now, and the caller says yes.

It asks for the address, whether it is a home or a business, and the best callback number, then confirms them back. The caller gets a text that the details were received.

On your phone, a summary shows up marked urgent: irrigation, water running, front bed, address, number. Two estimate requests from earlier sit below it, unflagged. You call the irrigation customer first. The assistant did not diagnose the leak, quote the repair or promise a visit time.

The phone rings while the mower is running

A crew cannot answer a phone behind a mower, and a homeowner who reaches voicemail may simply call the next company on the list. A recurring customer is worth more over a season than any single job, so the call worth protecting is often the quiet one: someone asking about weekly service. Tagging recurring requests apart from one-time jobs and emergencies keeps them from being buried.

Detail 03 It won't

  • Quote a mowing price or a project cost
  • Build or change your mowing routes
  • Diagnose an irrigation or plant problem
  • Promise a visit day or a crew arrival time

What it costs is just below, with the arithmetic.

S-101L.6 · Missed-call math

The missed-call math, with your own numbers

Revenue at risk each week equals the calls you miss, times the share of those that were new-customer jobs, times your average job value. Count a week of missed calls from your phone log, then fill in the three numbers yourself.

Your average job value. Decide whether you count a first visit or a first season, then stay consistent. A new customer who turns into repeat visits is worth more than one cut.

This is the ceiling, not a forecast. Not every missed call would have become a job, and an AI receptionist does not rescue every one. Put your own result next to the monthly price above and decide for yourself.

Landscaping AI Front Desk questions

What does an AI answering service do for a landscaping company?

It answers the business line while crews are working, asks whether the caller wants recurring service, a one-time job, cleanup or help with irrigation, collects the address and callback number, and texts you a summary with urgent calls flagged. It does not quote, schedule routes or send a crew.

Is an AI receptionist for landscaping the same as a call center?

No. A call center staffs a phone line with people. The AI receptionist answers with a script you approve, asks the same triage questions on every call and sends you a text summary. You still make the callbacks, set the quotes and run the routes.

Can it tell a recurring mowing lead from a one-time job?

It asks what kind of work the caller wants first, then tags the call as recurring service, a one-time estimate, cleanup or an irrigation problem. You decide which to answer first.

Can it give a caller a mowing price?

No. Prices depend on lot size, access and frequency, so it records the request and passes it to you. You send the quote.

What happens to an existing customer who calls about a missed visit?

The assistant records the name, address and what the customer said, and flags it for your callback. It does not promise a make-up visit or change your schedule.

Do I need to tell callers it is an AI or that a call is recorded?

This is general information, not legal advice. Disclosure and call-recording rules vary, and Florida has its own consent requirements. Confirm your greeting and any recording wording with a Florida attorney before go-live.
