Sheet S-101WAI Front Desk for Pool Service

AI answering service for pool service companies

An AI answering service for a pool service company picks up while your technicians are on routes, asks whether the caller wants weekly service, has a green pool, an equipment problem or a repair, captures the address and callback number, flags urgent calls, and texts you the details. It does not diagnose, quote or schedule routes.

Step 1 of 3

S-101W.1 · Call types

The calls a pool service line gets, sorted by what they need

A pool service phone carries weekly-route requests, green-pool rescues, equipment trouble and customers asking about a missed visit, often while every tech is out on a route.

  • Flag first

    Equipment not running

A pump that will not start, a leak at the equipment pad, or a heater that stopped. Recorded as described, with no repair advice.

  • Flag first

    Green or cloudy pool

A pool that turned overnight, often before a party or after a rain stretch. Worth a prompt callback, tagged apart from routine requests.

  • Lead

    Weekly service request

A new stop on the route, a homeowner switching companies or a new owner. The lead worth the most over a season.

  • Routine

    Existing customer question

A missed visit, a schedule change or a billing question. Recorded and kept apart from new leads.

S-101W.2 · Triage

What the assistant asks a pool service caller

The questions stay on what the pool is doing and what kind of service the caller wants, in wording you review before go-live.

  1. Are you looking for regular service, a one-time cleaning or a repair?Recurring accounts and one-off jobs are quoted differently.
  2. Is the pool green or cloudy, or is something not running?Separates a water problem from an equipment problem, in the caller’s words.
  3. Is the equipment leaking or the pump not turning on?These are the calls to return first.
  4. Is this a home, an HOA or a business?HOA and commercial pools usually involve a second contact.
  5. Are you already a customer?Keeps an existing-customer question apart from a new lead.
  6. What is the address, and the best number to reach you?So you can group callbacks by route before you drive.

Equipment failures and leaks are flagged for first callback. Green-pool reports are tagged separately from weekly service requests. Routes and pricing stay with you.

The caller also gets a text confirming their details were received. See missed-call text-back for calls that never connect.

S-101W.4 · Sample call

A sample pool service call, start to finish

It is mid-morning on a weekday and every technician is on a route. A homeowner calls and the assistant answers in your company name. The caller says the pool turned green over the weekend and a family event is coming up. The assistant asks if the pump is running, and the caller says yes.

It asks for the address, whether the caller is already a customer, and the best callback number, then confirms them back. The caller gets a text that the details were received.

On your phone, a summary arrives: green pool, pump running, event coming up, new customer, address, number. A weekly-service request from earlier sits below it, tagged as a lead. You decide who calls first. The assistant did not name the cause, suggest a treatment or promise a visit.

Pools do not close for the season

In Florida, pools stay in use through most of the year, and heavy summer rain can change a pool’s water fast. Hurricane season runs June 1 to November 30, and the days after a storm can bring a pile of calls about debris and cloudy water. Tagging weekly-service requests apart from rescues keeps the quiet lead from being buried.

Detail 03 It won't

  • Diagnose why a pool turned green or stopped circulating
  • Tell a caller how to treat the water or run the equipment
  • Quote a service price or add a stop to your route
  • Promise a technician visit day

What it costs is just below, with the arithmetic.

S-101W.6 · Missed-call math

The missed-call math, with your own numbers

Revenue at risk each week equals the calls you miss, times the share of those that were new-customer jobs, times your average job value. Count a week of missed calls from your phone log, then fill in the three numbers yourself.

Your average job value. Decide whether you count a first cleaning or a first season of weekly service, then stay consistent. A route customer is worth more than one visit.

This is the ceiling, not a forecast. Not every missed call would have become a job, and an AI receptionist does not rescue every one. Put your own result next to the monthly price above and decide for yourself.

Pool Service AI Front Desk questions

What does an AI answering service do for a pool service company?

It answers the business line while your technicians are on routes, asks whether the caller wants weekly service, a one-time cleaning, a green-pool fix or a repair, collects the address and a callback number, and texts you a summary with urgent calls flagged. It does not quote or schedule.

Can it tell a green pool from a weekly-service lead?

It asks what the caller wants and what the pool is doing, then tags the call as a rescue, a repair, a new route stop or an existing-customer question. You choose which to return first.

Can it give a caller a monthly price?

No. Prices depend on pool size, equipment and condition, so it records the request and passes it to you. You send the quote.

What happens when an existing customer calls about a missed visit?

The assistant records the name, address and what the customer said, and flags it for your callback. It does not promise a make-up visit or change your route.

Do I need to tell callers it is an AI or that a call is recorded?

This is general information, not legal advice. Disclosure and call-recording rules vary, and Florida has its own consent requirements. Confirm your greeting and any recording wording with a Florida attorney before go-live.
