Sheet S-101RAI Front Desk for Roofing

AI receptionist for roofers

An AI receptionist for a roofing company answers the business line when your crew is on a roof, asks whether the caller has an active leak, storm damage or an estimate request, collects the address and callback number, flags urgent calls, and texts you a summary. It does not quote, diagnose or dispatch.

S-101R.1 · Call types

The four calls a roofing line actually gets

Roofing calls are not one kind of call. After a storm they arrive in a pile, and the order you return them in matters.

  • Flag first

    Active leak

Water is coming through a ceiling right now. This is the call most worth returning first.

  • Flag first

    Storm damage

Missing shingles, a limb on the roof, a tarp question. Often arrives in bunches the day after weather.

  • Lead

    Estimate request

An older roof, a replacement question, or a second opinion. Not an emergency, but worth a prompt callback.

  • Routine

    Insurance question

A homeowner with a claim in progress asking who they should call. The assistant records the situation and leaves the answer to you.

S-101R.2 · Triage

What the assistant asks a roofing caller

These are the questions a good office person would ask before the owner ever picks up. You review the wording before go-live.

  1. Is water coming in right now, or did it already stop?Separates an active leak from a stain to look at later.
  2. Did this start after recent weather?Tells you whether the call belongs in a storm batch.
  3. What is the property address? You can sort the callback list by area before you drive.
  4. Is there an insurance claim open on this?Recorded as a yes or no. The assistant gives no claim advice.
  5. Is it a house, a rental or a commercial building?Changes who you speak to and what you send.
  6. What is the best number, and when is a good time to call?So the callback reaches a person instead of voicemail.

What lands on your phone

Detail 02 The summary you receive

Call type
Leak, storm damage, estimate or insurance question
Urgency flag
Marked for first callback when the caller reports an active leak
Property
Address and property type as the caller gave them
Claim status
Whether the caller says a claim is open
Contact
Name, callback number and preferred callback time

Active leaks and fresh storm damage are flagged for first callback. You still decide who goes out and in what order.

The caller also gets a text confirming their details were received. See missed-call text-back for calls that never connect.

S-101R.4 · Sample call

A sample roofing call, start to finish

It is a little after nine at night and it has been raining for two hours. A homeowner calls and the assistant answers with your company name. The caller says water is dripping into a bedroom closet. The assistant asks if it is dripping right now, and the caller says yes, steadily.

It asks for the address and a callback number, asks whether anyone has an insurance claim open, and confirms back what it heard. The caller gets a text confirming the details were received. The assistant says the office will call back and does not promise a time you have not approved.

On your phone, a summary shows up marked urgent: active leak, bedroom closet, address, number, no claim mentioned. You call that one first, before the three estimate requests that came in the same evening.

Storm week is a sorting problem

The hard part of storm week is not answering one call. It is that calls arrive in a pile and the leak at the top of the list looks the same as the estimate request at the bottom. Flagging by type, with the address attached, gives you a callback order to work from when you finally get off the roof.

Detail 03 It won't

  • Tell a homeowner what their roof needs
  • Give insurance or claim advice
  • Promise a tarp date or a start date
  • Quote a repair or replacement price

Roofing AI Front Desk questions

What does an AI receptionist do for a roofer after a storm?

It answers every call, asks whether water is coming in now, collects the address and callback number, and texts you a summary with leak and storm-damage calls flagged. It cannot inspect, quote or schedule, so the callback order and the crews stay with you.

Will it tell a homeowner whether insurance will cover the roof?

No. It records whether the caller says a claim is open and passes that along. Coverage questions go to you or to the homeowner’s insurer, and the assistant is set up to say so.

Can it keep a tarp or inspection date on my calendar?

No. It collects the details and the best callback time, and you confirm any visit yourself. That keeps your schedule under your control.

What if a caller wants to speak to a person right away?

You choose the rule. The assistant can take a message and mark it urgent, or hand the caller to a phone number you pick during hours you set.

Do I have to tell callers it is an AI or that a call is recorded?

This is general information, not legal advice. Call-recording and AI-disclosure rules vary by situation, and Florida has its own consent requirements. Confirm any greeting or recording wording with a Florida attorney before go-live.
